We’re Hiring: Billing Coordinator (Remote)

Tyz Law Group PC, a boutique intellectual property litigation and counseling law firm, is looking to hire a detail-oriented, self-starter to support its operations team.  This is role is 100% remote.

The attorney team is comprised of seasoned technology lawyers with deep subject matter expertise.  We deliver the impact, substantive capability, and quality of larger firms while offering the personalized attention of a small, agile team. The Role

  • Prepare, generate, and transmit client invoices, ensuring accuracy and compliance with client agreements, billing guidelines, and firm procedures.

  • Responsible for preparing the LEDES file to be sent to the client.

  • Process write-offs, adjustments, and discounts according to firm policies.

  • Coordinate resolution of any billing issues, including deductions and credits.

  • Communicate with clients and insurers regarding invoice and payment status.

  • Proactively manage status reporting in billing systems.

  • Communicate with attorneys and legal staff to facilitate accurate recordation of billable time and review time entries for errors or omissions.

  • Manage all aspects of accounts receivable, including tracking and recording incoming payments, monitoring and following up on outstanding AR, and coordinating with bookkeeper to reconcile accounts.

  • Coordinate accounts payable processes with bookkeeper including preparation and processing of expense reports, managing outgoing payments to vendors and ensuring timely processing of payments.

  • Apply trust and retainer funds as directed; assist with month-end trust balancing.

  • Provide administrative assistance where needed, including organizing files, word processing support, etc.  

Qualifications

  • Strong technology skills, including proficiency in Excel, Word, Outlook, and Adobe Acrobat, and an ability to leverage new technology for business processes.

  • Prior billing experience (3-8 years) in a litigation firm with at least 20 attorneys and billing / collections for 100 + matters.

  • Familiar with legal terms and processes and with the nature of the legal work being done.

  • Familiar with multiple vendor ebilling systems, including Bottomline/Legal-X, Legal Tracker, Coupa, and CounselGo.

  • Proactive self-starter with strong attention to detail, outstanding organizational skills, an ownership mentality, and the ability to work independently with minimal supervision.

  • Ability to handle confidential information with discretion.

Reports to: Guinevere Jobson
Salary: $50,000-$95,000 (dependent on experience and location)
